Your data, our responsibility —
not our product.

To help you apply abroad, we ask for personal information — your name, your transcripts, sometimes your passport. This page explains exactly what we collect, why we collect it, who we share it with, and the rights you have over it.

01 - Introduction

Welcome to Study Square

We value your privacy and are committed to protecting your personal data. This Privacy Policy outlines how we collect, use, and protect your information when you visit our website, attend our coaching classes, or work with one of our counsellors.

This policy applies to studysquare.com and all of its sub-sites — including destination pages, the gallery, the contact form, and any landing pages we run for university partners. If you interact with us in person at one of our offices (Nepal, India, Australia, Philippines, Indonesia, Kenya), the same standards apply to the information you share with us there.

If you are under 18, we ask that you read this policy together with a parent or guardian before submitting any information.

02 - What we collect

Information we collect

We collect three categories of information — nothing more, nothing hidden:

  • Personal information

Name, email address, phone number, date of birth, country of residence, and any other details you provide to us through forms on our website, on WhatsApp, or in person at a counselling session. For students proceeding to application stage, this can also include academic transcripts, test scores, and passport details — only with your explicit consent for each.

  • Usage data

Information about how you use our website — including your IP address, browser type, device, operating system, referring page, and pages viewed. This is collected automatically and used in aggregate to understand which content is helping students.

  • Cookies & tracking

We use cookies and similar technologies to enhance your browsing experience, analyze site traffic, and understand user behaviour. You can disable non-essential cookies in your browser settings at any time.

03 - How we use it

How we use your information

We use your information solely for the following purposes. If we ever need to use it for something else, we will ask you first.

  • Tele-calling & SMS

We will make promotional and follow-up calls and send SMS messages through a third-party platform — e.g. a reminder about your visa appointment, a notice that scholarship applications have opened, or a confirmation that we have received your transcripts. You can opt out at any time by replying STOP to any SMS or telling your counsellor.

  • Marketing

To send you promotional materials and updates about our services — including study-abroad education consulting, IELTS and PTE coaching classes, test registrations and bookings, and mock-test preparations. Every email has a one-click unsubscribe.

  • Customer service

To respond to your inquiries, schedule counselling sessions, and provide support throughout your application, visa and pre-departure journey.

  • Website improvement

To analyze usage patterns and improve our website's functionality, content and user experience — for example, learning that students from Nepal mostly visit the Australia page on mobile, so we should prioritize mobile layout there.

What we never do

We never sell your data. We never share it with a university you haven't applied to. We never use your information to train a third party's AI model. We never charge students for our counselling — we are paid by partner universities, and we are upfront about that on every shortlist we send you.

04 - Sharing

Information sharing & disclosure

We do not share, sell, or distribute your personal information to third parties without your consent, except as required by law.

There are three narrow exceptions where your data may be transmitted to someone outside Study Square — all of them in service of your application:

  • University partners

When you instruct us to submit an application on your behalf, we share the application materials with the specific university you have chosen. You see the shortlist before we send anything.

  • Service providers

We use trusted third-party vendors for hosting, email, SMS, CRM and analytics. Each is bound by a data-processing agreement and may only use your data to provide the contracted service.

  • Legal requirements

We will disclose information if compelled to do so by a court of competent jurisdiction or a regulator in India, Australia, Nepal or the Philippines. We will notify you of any such request unless we are legally prohibited from doing so.

05 - Security

Data security

We take appropriate measures to ensure the security of your personal data. Our website and internal systems employ industry-standard security protocols to protect your information from unauthorized access, alteration, disclosure, or destruction.

In practice this means:

  • Encryption in transit and at rest
TLS 1.3 on every page of studysquare.com. AES-256 encryption on all stored application materials, transcripts, and passport copies.

  • Access control
Only the counsellor assigned to you, your branch manager, and our compliance team can access your file. Every access is logged and reviewed monthly.

  • Retention
We retain application records for 7 years after your last interaction with us — this lets us write reference letters and assist with PR / migration paperwork years after you have graduated. You can request earlier deletion at any time.

06 - Cookies

Cookies & tracking

Cookies are small text files stored on your device that help websites remember you between visits.

We use three kinds:

  • Essential cookies
Required for the site to function — e.g. remembering whether you have accepted this banner, or keeping you logged into the application portal. Cannot be disabled.

  • Analytics cookies

Help us understand which destinations and resources students find most useful. We use Plausible Analytics — a cookie-light, GDPR-compliant tool that does not track individuals across sites.

  • Marketing cookies

Used for retargeting on Meta and Google when you visit our site without filling in a form. You can decline these from the cookie banner or in your browser's tracking-protection settings.

07 - Updates

Changes to this Privacy Policy

We may update this Privacy Policy from time to time — when our services change, when the law changes, or when we adopt a new tool. Any changes will be posted or updated on this page.

We encourage you to review this page periodically to stay informed about how we are protecting your information. If any changes are significant — such as a change in how we use your personal data — we will make reasonable efforts to notify you directly, whether through a notice on our website or via the contact information you have provided us.
